Why Exhibit

The Chatham County Hurricane Conference brings together roughly 400 emergency managers, first responders, elected officials, and community partners from across Chatham County, coastal Georgia, and the southeast United States for a single-day conference. Exhibiting is a direct way to put your products, services, or agency programs in front of the local decision-makers who plan and respond to hurricanes.

2027 Gold Sponsor Vendor Space — What's Included

Note: Unlike large state/national exhibit halls, this conference does not use pipe-and-drape to divide booths. Vendor spaces are open tables arranged around the room, spaced for easy attendee flow.

Included Details
Session Presentation If desired, the ability to present during one of our breakout sessions will be made available. This is a hurricane conference, so we do ask that presentations be geared towards hurricane preparedness/response/recovery. This is an excellent opportunity to showcase your organization’s real-world work. Sessions are one hour long.
Two 6-ft skirted table Vendor spaces are open floor positions (no pipe-and-drape dividers). Bring your own tablecloth/throw if you prefer a different look.
Two chairs Additional chairs may be requested at check-in, subject to availability.
One table-top ID sign Printed with your organization’s name; based on the name provided on your application.
Two (2) exhibitor badges Includes hall access and lunch. Additional staff badges are available for an additional $85 fee.
Wi-Fi access Standard venue guest Wi-Fi for the exhibit area.
Electrical outlet w/power strip *Available if requested*

  • Pipe-and-drape booth dividers or backdrops (spaces are open; bring your own pop-up banner or tabletop display if desired)
  • Electrical power/extension cords (only included with gold sponsorships if requested)
  • Additional tables, linens, or furnishings beyond the standard one table/two chairs
  • Audio/visual equipment
  • Shipping, storage, or material handling of vendor freight
  • Food or beverage distribution/sampling without prior CEMA approval

Signage by the breakfast area or afternoon snack area This sponsorship will fund either breakfast or the afternoon snack break for the attendees, with signage prominently being displayed near the service tables.

Booth Layout & Setup

No Drapes or Pipe Dividers

Vendor tables are placed directly on the exhibit floor without pipe-and-drape separation. This keeps the hall open and easy to navigate. Please keep your display, signage, and materials within the footprint of your assigned table so sightlines to neighboring vendors stay clear.

Move-In / Move-Out

  • Move-in: Vendors may begin setup at 7:00am. Opening Session begins at 8:30am.

  • Move-out must be completed by 5:00 pm on April 7, 2027.

Booth Assignment

Spaces are assigned by CEMA in the order applications are received. Requests for a specific location are accommodated when possible but are not guaranteed.


Vendor Conduct

  • Distribution of materials, samples, or promotions is limited to your assigned table.
  • Aisles and neighboring spaces may not be obstructed.
  • Vendors are responsible for any damage caused by their equipment or displays.
  • CEMA reserves the right to determine the acceptability of any vendor’s products or services for the conference.
